Terms and Conditions of Participation in the 15th International Montessori Conference
§ 1. GENERAL PROVISIONS
1. These Terms and Conditions define the rules for participating in the 15th International Montessori Conference (hereinafter referred to as the "Conference" or the "Event"), organized by the Polish Montessori Council Association, based in Warsaw, ul. Lwowska 11/3, 00-660 Warsaw, registered in the National Court Register under KRS number: 0000682719, in the District Court for the City of Warsaw under the name Stowarzyszenie Polska Rada Montessori, 12th Commercial Division of the National Court Register, NIP: 7010704350, correspondence address: ul. Czesława Kłosia 7, 02-466 Warsaw.
2. The Conference will take place on April 11-12, 2026 at the Arche Krakowska Hotel, Aleja Krakowska 237/U1, 02-180 Warsaw.
3. Privacy Policy – defines how personal data is processed. The Privacy Policy is available on the event website: https://montessori2025.syskonf.pl/prywatnosc.
4. The Event producer, responsible for organization in terms of logistics, technical and personnel support, sponsorship acquisition and cooperation, as well as participant services including registration, is **Be Alive Zuzanna Załoga**, based in Warsaw, ul. Blaszana 1/113, 03-703 Warsaw, NIP: 8231536992, REGON: 147384050. The producer acts on behalf of the Organizer and performs activities on its behalf.
§ 2. DEFINITIONS
For the purposes of these Terms and Conditions, the following definitions are specified:
a) Terms and Conditions – refers to this document containing the set of rules and conditions for participation in the Conference, available on the website: www.konferencjamontessori.pl/regulamin
b) Organizer – refers to the Polish Montessori Council Association, based in Warsaw, ul. Czesława Kłosia 7, 02-466, NIP: 7010704350
c) Conference or Event – refers to the Conference organized by the Organizer under the name: 15th International Montessori Conference, held at Arche Krakowska Hotel, Aleja Krakowska 237/U1, 02-180 Warsaw.
d) Registration – refers to the submission of a request to participate in the Conference by an individual (Individual Registration) or a group representing an organization (Group Registration) via completion of the Registration Form.
e) Registration Form – refers to the form available on the website: www.konferencjamontessori.pl, through which Registration takes place.
f) Confirmation of Registration – refers to the notification sent by the Organizer to the email address provided by the Participant during Registration, confirming the Registration.
g) Participant – refers to a natural person indicated in the Registration Form.
§ 3. PARTICIPATION REQUIREMENTS
1. The condition for participation in the Conference is completing the Registration via the Registration Form available on the Conference website at www.konferencjamontessori.pl and paying the participation fee.
2. A Participant may register individually (Individual Registration) or be registered by an authorized person (Group Registration).
3. Regardless of the chosen form of registration, each participant is obliged to read and comply with these Terms and Conditions.
4. The scope of the Registration System includes the service of storing the participant's registration in the database, as well as handling the registration, including collecting, recording, storing, updating, supplementing, and deleting this data by the Organizer.
5. Each Participant will receive a confirmation of participation – a certificate of attendance. The Participant authorizes the Organizer to send the certificate electronically.
6. To register for the Event, the Participant must specify the method of financing participation – whether it is fully or partially covered by educational subsidy funds.
§ 4. COMPLAINTS
1. Any complaints from Conference Participants against the Organizer should be submitted in writing via email to kontakt@konferencjamontessori.pl or to the Organizer's correspondence address and should include: full name of the complainant, correspondence address, email address, phone number, subject of the complaint, event date, and factual circumstances justifying the complaint.
2. A Participant may submit complaints no later than 5 days after the end of the Conference.
3. After the above deadline, no complaints will be considered.
4. The Organizer considers complaints within 14 business days from the date of submission and communicates its position to the complainant in the same form as the complaint was submitted.
§ 5. PAYMENTS
1. Participation in the Conference is paid, and the price depends on the selected package.
Two-day package (access on Saturday and Sunday)
The package includes:
– participation in selected panels during the 2 conference days (Saturday and Sunday),
– full-day coffee breaks on Saturday and Sunday, including two lunches,
– conference participation certificate,
– participant bag with sponsor gifts,
– access to the Meeting15 conference app,
– access to live streaming and recordings of the two days of the conference (selected lectures according to the program on https://konferencjamontessori.pl/program) valid for 30 days after the event.
Online package
The package includes:
– conference participation certificate,
– access to the Meeting15 conference app,
– access to live streaming and recordings of the two days of the conference (selected lectures according to the program on https://konferencjamontessori.pl/program) valid for 30 days after the event.
2. The current price of participation is available on the conference website. The price depends on the registration package batch:
– Batch I: 100 tickets at 790 PLN;
– Batch II: 200 tickets at 890 PLN;
– Batch III: tickets at 990 PLN until sold out.
3. Prices listed on the event website are gross prices. Conference packages are VAT exempt.
4. Participants may request a VAT invoice. To receive an invoice, the Participant must correctly fill in the Invoice Details section in the Registration Form.
5. VAT invoices will be issued by the Organizer after payment is credited to its bank account.
6. Educational institutions and local government units are entitled to receive an invoice with a 14-day payment term if registration is made at least 14 days before the Conference. For later registration, the invoice will have a shorter payment term. To obtain a deferred payment, select Bank Transfer in the Registration Form and send a request with organization details to kontakt@konferencjamontessori.pl.
7. Available payment methods:
a) bank transfer to the Organizer's account: 83 1090 1883 0000 0001 3488 9312, Santander Bank (please include event name, participant name, or invoice number for deferred payments in the transfer title),
b) card payment via PayU system,
c) instant bank transfer via the Participant’s bank,
d) Blik payments.
§ 6. TRANSPORT AND ACCOMMODATION
1. Participants cover the cost of accommodation and travel on their own.
2. Accommodation is available at Arche Krakowska in Warsaw, where the Conference is held. Organizers will provide a link for self-booking at preferential rates after registration.
3. The Organizer does not provide brokerage services for accommodation and is not a party in any disputes between the Participant and the Hotel.
§ 7. PARTICIPANT OBLIGATIONS
1. Participants are required to read the Terms and Conditions.
2. Participants must comply with applicable health and safety regulations, fire, sanitary, administrative rules, and Hotel regulations.
3. Participants may be present on Conference premises only during hours designated by the Organizer.
4. Participants are prohibited from conducting any commercial, promotional, advertising, or fundraising activities not authorized by the Organizer.
5. Participants must comply with applicable laws and social norms and not disrupt public order.
6. The Organizer may refuse entry or remove from the Conference premises:
• persons visibly under the influence of alcohol, narcotics, psychotropic, or similar substances,
• persons carrying weapons or other dangerous items,
• persons behaving aggressively, provocatively, or otherwise posing a threat to safety or public order.
7. Participants are fully liable for any damage they cause to Organizer’s, Hotel’s, or other Participants’ property.
8. The Organizer is not liable for damage caused by force majeure.
9. The Organizer is not responsible for unattended personal belongings.
§ 9. CANCELLATION
1. Participants may cancel their participation and receive a 90% refund if notification is sent by February 27, 2026. After this date, the registration fee is non-refundable. Absence does not entitle the Participant to a refund. Participant name changes are possible until April 9, 2026 via email to: kontakt@konferencjamntessori.pl.
§ 10. LIABILITY
1. The Organizer declares that all content provided during the Conference is educational. The Organizer is not responsible for any damages incurred by Participants or third parties from using the knowledge, skills, or information obtained.
2. If the Conference cannot take place due to reasons beyond the Organizer’s control, the Organizer will promptly inform Participants.
3. The Organizer reserves the right to change the program, speakers, or cancel the Conference due to unforeseen events. In case of cancellation, Participants will be informed and fees refunded via bank transfer. In case of force majeure and rescheduling, the Participant may request a refund or credit for the new date.
§ 11. IMAGE, VOICE, AND STATEMENT USE
1. The Organizer declares, and the Participant agrees, that the Conference will be recorded audiovisually and/or photographed, and these materials may be used for mass media (TV, radio, Internet, press, social media) or for documentation, promotion, advertising of the Organizer, persons authorized by the Organizer, and the Conference itself (including commercial use).
2. Recording will occur throughout the Conference venue, unless specific no-recording zones are clearly marked.
3. The Participant authorizes the Organizer to use their image, voice, and statements (if given during sessions or on camera) in these materials for the purposes described above, granting non-exclusive, free-of-charge, unlimited territorial and time consent, including:
– recording on any audiovisual medium (video tapes, magnetic tapes, computer disks, Internet),
– reproducing by any technique,
– public display, playback, broadcasting, and rebroadcasting,
– lending, renting, or sharing media containing the recordings,
– uploading to computer memory or multimedia networks,
– use on various websites, including the Organizer’s website.
§ 12. FINAL PROVISIONS
1. The Organizer provides the Terms and Conditions before Participant registration.
2. The Organizer reserves the right to amend the Terms and Conditions.
3. Each new version applies to persons who have not yet registered or accepted the updated Terms.
4. Participation is limited; registration order determines acceptance.
5. The Organizer may exclude Participants violating any Terms and Conditions, especially:
a) acting against the law, good morals, or third-party interests;
b) attempting to circumvent the Terms or Conference rules;
c) acting against the Organizer’s justified interests or reputation.
6. Matters not covered by these Terms are governed by the Civil Code.
7. If any provision is invalidated by law or court decision, the remaining provisions remain in force.
8. Disputes will be resolved first amicably, then by the court competent for the Organizer’s registered office.
9. The Organizer is not responsible for lost, damaged, or stolen personal belongings during the Conference.
